Deanwood Cottages Booking Terms


TERMS & CONDITIONS

As the person booking this holiday, you are responsible for ensuring your party complies with these Terms and Conditions of booking, and also those on the ’Welcome Pets!’ sheet if you are bringing a pet.

PAYMENTS

At the time of booking, a non-returnable deposit of £100 per cottage is required. The balance is due at least six weeks prior to the arrival day. We reserve the right to cancel the booking if the balance is not paid by this date. Payments can be made by credit or debit card over the phone, or BACS to our bank account.

Cancellation Conditions

If the booking is cancelled less than 42 days before arrival then a charge equal to 50% of the stay will be made.
If the booking is cancelled less than 14 days before arrival then a charge equal to the full booking amount will be made. If the booking is cancelled 42 or more days before arrival then a charge equal to £100 per booking will be made.
In the event of a no show or booking reduction (after arrival date) the full cost of the booking is charged.

OCCUPANCY

A cottage may only sleep up to the number of guests it is advertised for, except for one additional child / baby, by prior arrangement. There is no extra charge for a cot but it must be booked in advance and you will need to bring bedding for it with you. There is a charge for an extra single bed complete with bedding and towels. This must be booked in advance. N.B. some bedrooms do not have sufficient room for an extra bed.

The holiday booked may not be transferred or sold to another party.
We do not take stag or hen parties unless we are notified of this in advance and have agreed to it.

PETS

Please request and read the additional ‘Welcome Pets!’ information sheet.

SMOKING

Smoking is not allowed inside the cottages or any of the public buildings e.g. launderette.

CANCELLATION

If you have to cancel your holiday, please let us know as soon as possible. If your holiday start date is more than 6 weeks away, then you will not be liable to pay the balance. If the booking is cancelled less than 6 weeks but more than 2 weeks before arrival, then a charge equal to 50% of the stay will be made. If the booking is cancelled less than 2 weeks before arrival, then a charge equal to the full booking amount will be made.
We strongly recommend you take out holiday cancellation insurance to protect you against possible loss.
In the unlikely event that the accommodation booked becomes unavailable and we have to cancel, our liability is limited to a full refund, including the deposit, although we would give you the option to transfer to an alternative cottage if we have one available.

CORONAVIRUS / COVID-19 OR SIMILAR OUTBREAK

If government legislation prevents you from coming, then you will be given a full refund or you may choose to book another date, subject to availability and payment of any difference in cost. If you or anyone in your party show any symptoms of the virus within the 7 days prior to your due arrival day, or have been in the presence of anyone with the virus in last 14 days prior to your due arrival day, then you must all stay at home. You must phone / email us as soon as you know that you cannot come. You may arrange another stay subject to availability and payment of any difference in cost. If you or anyone in your party experiences any symptoms after arrival, you must all return home immediately and self-isolate at home. You must advise us as soon as possible by telephone / email that you are leaving. There will be no refund for the remaining days which you had booked.

ARRIVAL & DEPARTURE

Your cottage will be ready for you from 4.00pm. If you will be arriving after 6pm please advise your estimated time asap in advance to ensure someone will be here to welcome you. Please vacate the cottage by 10.00am leaving it clean & tidy.

DAMAGE & BREAKAGES

Please report any damage or breakages to us as soon as you can and allow us access e.g. for cleaning a carpet before a spill stains. We reserve the right to charge you where there is significant damage or where we feel reasonable care has not been taken. You are responsible for supervising your children and your pets to ensure they do not damage our property. Pets must not be left unsupervised in the cottage or grounds.

UNREASONABLE BEHAVIOUR

We have the right to refuse to allow access to a cottage to anyone who we feel is unsuitable to take charge of it. In such cases all monies paid will be refunded as soon as reasonably possible, the contract will be terminated and we will have no further liability. In the event of guest misbehaviour during occupancy, we reserve the right to terminate the let without any refund of letting monies. Misbehaviour specifically includes but is not limited to drunken behaviour, abusive behaviour, smoking in the cottage or other buildings, undue noise and dog barking.

LIABILITY

We want you to have a safe and happy holiday so please take care, especially of your children.
Familiarise yourself with where the steps, light switches, fire extinguisher and fire blanket are. Advise us immediately if any of the alarms become low on battery power. Do not leave children unattended in the cottage or grounds. Do not let them play with the blind cords or lean out of the upstairs windows. Do not allow them to stroke other visitors’ dogs without their permission. We do not accept liability for injury or damage or loss of guests’ property, cars and contents and you agree to indemnify us from all actions, claims, costs & proceedings, including legal fees, arising from your acts or omissions, or those in your party, whilst on our property                       

DATA

Any data collected from this booking may be kept on a computer. It will not be disclosed to any third party.

SUGGESTIONS & COMPLAINTS

We want you to really enjoy your stay here. Your beds will be made up and your cottage will have been thoroughly checked, however if we have missed something, or something breaks or stops working while you are here, please let us know as soon as possible so that we have opportunity to rectify the situation. If you have any suggestions for our improvement, please tell us. Please tell your friends about all the things which you loved here!

WELCOME PETS!
Please take the time to read the following as it provides useful information as well as forming part of your Terms and Conditions of Booking at Deanwood Holdiay Cottages Forest of Dean.

Well-behaved pets are welcome in ten of our holiday cottages:-

2 bedroomed cottages – Badgers, Saddlers, Tigs, Ivy, Forge, Coachmans;

1 Bedroomed cottages – Swallow, Squirrel, Magpie & The Cottage (no cats).

Please book in your pet at the same time as booking your holiday cottage.

You are responsible for supervising your pet and ensuring that it does not cause any injury to other holiday makers or their pets, or any damage to the holiday cottage e.g. carpets, furniture etc. or the grounds e.g. digging holes etc.

We reserve the right to charge you for repairs to furniture / grounds and for cleaning carpets / furniture if due care has not been taken.

We do not accept liability for any injury or damage, either to your pet or caused by your pet, or the loss of your pet, and you agree to indemnify us from all actions, claims, costs & proceedings, including legal fees, arising from your acts or omissions, or those in your party, whilst on our property.

Pets must NOT BE LEFT UNATTENDED in either the holiday cottage or the grounds. There is a local Pet Sitting Service, Paws for a while with me, Email- pawsforawhilewithme@hotmail.co.uk, Tel: 01594 563707 (Home), 07582784417 (Mobile) should you wish to go out without your pet.

Pets must not be allowed to disturb other holiday makers e.g excessive barking/ chirping, especially at night.

DOGS
Well-behaved house-trained dogs (excluding ‘dangerous breed’ dogs) are welcome at a charge of £25 for one dog, £35 for two or £45 for three.

A ‘Welcome Dog’ box is provided for you to use during your stay, containing:
* Protective feeding tray to place under the food and water bowls,
* Scoop and supply of disposable bags
* Pet towel for each dog
* Information pack – details of vet; dog food supplier; local dog friendly pubs, attractions, restaurants etc.

Also available if booked at least 14 days in advance:
* Food Bowl
* Water bowl
* Dog toys
* Initial supply of dog food – bought from Tesco’s at a charge of £3 plus the cost of the food, payable in cash on your arrival. We cannot guarantee your requested type / brand will be available and therefore you authorise us to choose substitutes at our discretion.

You must bring your dog’s bed / crate with you, and if he/she is used to lying on the sofa you must also bring protective throws to cover the chairs. Dogs are only allowed in the lounge / kitchen / dining area, they are NOT allowed in the bedrooms. A stairgate can be provided if requested in advance.

There are footpaths leading from the grounds directly into the Forest of Dean, where there are many beautiful walks. We also have a paddock where you may exercise your dog on an extendable lead, however this is also a play area for children, so please consider others and ALWAYS pick up after your dog. Bags and a scoop are provided and there are red bins in the grounds in which to dispose of the bags.

Dogs must be kept on a lead at all times whilst in the grounds.

Please do not let your dog back into the holiday cottage while it is still wet or muddy. There is an outside tap with hose in the courtyard, also a sink, tin bath and bucket in the laundry, which you may use to clean your dog. A dog towel is provided in your ‘Welcome Dog’ box.

CATS
Well-behaved domestic house cats are welcome at a charge of £25 for one cat, £35 for two, £45 for three.

A ‘Welcome Cat’ box is provided for you to use during your stay, containing:
* Protective feeding tray to place under the food and water bowls,
* Cat litter tray
* Supply of cat litter
* Scoop and supply of disposable bags
* Information pack – including details of vet, cat food supplier

Also available if booked at least 14 days in advance:
* Food Bowl
* Water bowl
* Cat Scratching Post
* Initial supply of cat food – bought from Tesco’s at a charge of £3 plus the cost of the food, payable in cash on your arrival. We cannot guarantee your requested type / brand will be available and therefore you authorise us to choose substitutes at our discretion.

BIRDS / SMALL CAGED ANIMALS
Domestic caged birds / small animals are welcome at a charge of £10 per cage (maximum size of cage base 46cm x 46cm, maximum of 2 cages per holiday cottage).

You must bring your pet’s cage with you, which must have a solid base, also a protective mat to set the cage on and, for birds, a cover to put over the cage at night.

The birds / animals MUST STAY IN THEIR CAGE while they are in the holiday cottage. Birds are NOT allowed to fly around the cottage.

The cage and birds / animals are only allowed in the lounge / kitchen / dining area of the holiday cottage. The birds / animals or their cage are NOT allowed in the bedrooms.

We want you to really enjoy your stay here. If there is anything which you are unhappy about or which you feel needs repairing or replacing, or if you have any suggestions for our improvement, please tell us. All the things which you loved here please tell all your friends, thank you.

 


 Cancellation Policy


Covid-19 and cancellations

Following on from government guidelines holiday homes in England are expected to open again on 4th July. Bookings are still being taken and an updated cancellation policy is in place to reflect any uncertainty around booking a holiday at this time.

If you have a holiday booked with us that cant be taken due to government restrictions being tightened in your area or our area you will be offered to move your booking to a future date or a full refund.

If you are told to self isolate due to covid-19 you will be offered the choice of either moving your booking to a future date or receiving a full refund.

If you develop Covid-19 symptoms while staying in our cottages we ask that you leave for home immediately and no refund or transfer of unused days will be offered.

We ask that you adhere to social distances guidelines and we ask 1 family at a time to use the children's play area. The laundrette is restricted to 1 person at any 1 time.

We have a strict cleaning routines in place and extra attention is paid to areas such as light switches, door handles and surfaces. We follow the cleaning guidelines set by the UK government.

Cancellation by You (Outside of Covid-19)

It may be necessary to cancel your holiday due to illness, accident or change of circumstances. If you have taken out our cancellation plan, payments arising from cancellation may be covered as detailed below.

As soon as you know you need to cancel, you must confirm the cancellation by writing to our Customer Services Team via email to info@spectrum-holidays.com

The email must be signed (where possible) by the person who made the booking or their travel agent. If you have not taken out our cancellation plan, cancellation charges are calculated as per the table below.

If you have not arrived by 8am on the morning after your break was due to commence or contacted the Holiday home owner/Holiday park concerned to confirm when you will arrive, we will assume that the break is cancelled and the total holiday cost including the Cancellation Plan, fees and postal charge will be forfeited.

Length of time Cancellation charge – no cancellation protection plan:

70 days or more - Spectrum Holidays will retain your deposit.

43-69 days - Spectrum Holidays will retain 30% of holiday cost or deposit, whichever is greater.

29-42 days - Spectrum Holidays will retain 50% of holiday cost.

15-28 days - Spectrum Holidays will retain 90% of holiday cost.

14 days or less - Spectrum Holidays will retain 100% of holiday cost.

Spectrum Cancellation Protection Plan

When making a booking you will be offered the option to take out our Spectrum Cancellation Protection Plan which covers you and your holiday party.

Our Spectrum Cancellation Protection Plan covers you should you, or any other member of your party, be forced to cancel your holiday because of sickness, bereavement, redundancy or jury service.
£30.00 per booking

We will need written proof of your cancellation; this will need to be as follows: Sickness – Doctors Certificate
Redundancy – Formal notification
Jury Service – Court notification
Bereavement – Death Certificate

Customers covered by our Spectrum Cancellation Plan and complying with these conditions will be entitled to the following:

70 days or more before the holiday start date – All monies paid minus deposit and cancellation plan fee.

29 - 69 days before the holiday start date – 75% of holiday cost minus cancellation plan fee (25% of monies paid or £85 original deposit will be retained whichever is greater).

15 – 28 days or less before the holiday start date – 50% of holiday cost minus cancellation fee.

If you cancel your holiday within 14 days of arrival date no refund will be given.

Please note: Our cancellation scheme covers you until you arrive on site after which refunds cannot be given if for any reason you decide you leave early. You may wish to take out your own holiday insurance to cover this. Completion of our Cancellation Form and Proof will be required, by recorded delivery prior to the confirmed start date of your holiday. Please see the cancellation plan for details on how to request a refund under the plan.
If the Spectrum Cancellation Plan is not taken out at the time of booking, we recommend you make your own arrangements. Please note the sliding scale of monies payable, under Conditions of Booking, should you not participate in the Cancellation Plan.

If we change or cancel your booking

As a responsible operator, our aim is to provide all the services, facilities as described in our brochure. Should it be necessary for us to make any major changes to your booking, or in exceptional circumstances cancel your booking, we will endeavour to advise you, and provide the following options:
a) A replacement holiday comparable or superior to the one booked or
b) A replacement holiday together with the difference in price between the replacement holiday and the holiday booked or
c) A full refund.
